White Paper: Retention Guidelines for Schools

Managing school records correctly is a legal and compliance responsibility.

Every school handles a huge volume of records daily, from pupil information and attendance logs to safeguarding reports, staff files, and financial documents. Knowing how long to keep these records, and when to securely dispose of them, is essential to comply with UK legislation and to protect sensitive information.

The Retention Guidelines for Schools, as set out by the Records Management Society of Great Britain, outline recommended retention periods for the many types of documents schools produce in their daily operations. Some of these retention periods are defined by law, while others represent best practice developed through years of experience in the education sector.

By following these guidelines, schools can remain compliant with the Data Protection Act 1998, the Freedom of Information Act 2000, and current data-handling expectations under UK GDPR principles.

In this post, we’ll explain the thinking behind these recommendations, the key questions schools should consider when reviewing their record management practices, and how professional support can help you meet your obligations with confidence.

For many years, Secure Storage Services has ensured schools located in the North West of England abide by the RGS. If you require document storage for schools, contact our team today on 0151 293 4000 or contact us through this website.

Understanding the Purpose of Retention Guidelines

Retention guidelines are designed to ensure that essential school records are available for as long as they are needed, and no longer.

Keeping documents for too long can increase legal risks, storage costs, and data protection breaches. Destroying them too early can lead to compliance failures or the loss of key evidence. The RGS provides a structured and reliable framework that enables schools to balance these risks. It covers every major category of record.

Who Manages Records?

Each school will need a defined policy and a named person or team responsible for maintaining it. This is usually the school business manager, office administrator, or data protection officer.

What if We Need to Keep Records for Longer or Shorter than the Recommended Period?

There may be occasions when your school decides to retain certain documents for a different period than the RGS suggests. In these cases, it’s essential to document the reason clearly.

A written note in your retention log explaining why the decision was made (for example, pending tribunal outcome) demonstrates accountability and protects your school in the event of an audit or Freedom of Information request.

What are the Benefits of Professional Document Storage for Schools?

Using a professional document management company allows schools to meet all their retention obligations with greater security and efficiency. We can:

  • Store your physical files off-site in secure, climate-controlled facilities.

  • Digitise your records for easier access and retrieval.

  • Handle confidential shredding in line with UK data destruction standards.

  • Provide full audit trails and certification of destruction for compliance records.

For schools with limited office space, this approach frees up room for learning activities while ensuring sensitive information remains fully protected.
